What Information We Collect
We may collect and process the following personal data:
Name, Email address, Telephone number (if provided for the purpose of contact before and during a workshop), Billing and payment information, Images submitted as part of courses or workshops, Communications sent to us (emails, messages, enquiries), Technical data (such as IP address, browser type, and website usage) NB If you sign up for an international workshop, there will be other details collected including passport number, certain health conditions, insurance details and flight details on a data form
How We Collect Your Data
We collect data when you:
● Book onto a course, workshop, or mentoring session: name, e-mail address, address and billing & payment information
● Sign up to our mailing list: name and e-mail
● Submit images for feedback or coursework: name, e-mail and the image
● Evaluation forms: this collects your e-mail and evaluation thoughts and will be kept with the google workspace of Wilde Photography and shared only with the google Workspace administrator, the Course Tutor. The exception is the testimonial that has permission to share on social media built into the question.
● Contact us via email or website forms: the name and e-mail that you provide
● Use our website: via cookies and analytics tools
● Have a course or feedback session which is recorded: The only sharing rights on the recording will be for the Wilde Academy Tutor, the google workspace administrator and the other members of the group. If this is a solo session it will only be yourself the Wilde Academy Tutor and the Google Workspace Administrator.
How We Use Your Data
We use your information to:
● Manage bookings and deliver courses and workshops
● Provide feedback on submitted images
● Answer Questions when they are asked of Wilde Photography Academy or communicate important course information
● Deliver one-to-one mentoring where requested
● Send marketing emails only where you have given consent through signing up to the Creative Circle or enabling these emails when you make a purchase
● Improve our services and website experience
Lawful Basis for Processing
We process your personal data because this is necessary for the performance of a contract with you to provide you with our products and services, to comply with legal obligations or if it is in our legitimate interests or the interests of a third party or on the basis of consent. When we process your personal data for our legitimate interest, we will also take you into account and ensure that the further processing of your personal data is done in accordance with the legal requirements. As such we will also look into ensuring that processing for this new purpose is compatible with the purpose for which the personal data were initially collected. This does not apply when such processing is done due to a legal obligation or when we have obtained your consent. Our legitimate interests are for example: improving our product and services, reducing our costs, improving our newsletters and website or securing our services and facilities. If you’ve provided consent please be informed that you can withdraw your consent at any time by following the unsubscribe link in an e-mail, by opting out or by contacting us.

● Contract – to deliver the services you have booked
● Consent – for marketing communications and newsletters
● Legitimate Interests – to improve and manage our services
Sharing Your Data
We only share your data where necessary and relevant. This may include:
● Course presenters or tutors for the purpose of delivering training and providing feedback: They will receive your name and e-mail
● One-to-one mentors where you have agreed to be introduced: They will receive your name and e-mail
● Payment providers, in this instance Stripe (part of this information is shared with the accounting package, Xero): They will receive billing and payment information
● Hotels if they are included in a workshop: They will receive your name
● Email marketing providers: Squarespace provides this and receives your name and e-mail
● Website hosting and service providers: Will receive your IP address detected by cookies Important: If you are attending a course, your email address and submitted images may be shared with the course presenter so they can provide feedback and support your learning.
Presenters will only use your data for course-related communication unless you choose to engage with them further. We do not sell or rent your personal data to third parties.
How Long We Keep Your Data
We retain personal data only for as long as necessary:
● Booking and financial records are kept for legal and accounting purposes for 6 years
● Course or 1 to 1 recordings will be kept for a maximum of 6 months after the course end and will be deleted.
● Course-related communications will be kept for a maximum of 6 months after the course or workshop or until a particular query or waiting list has been concluded.
● Images may be kept to support your learning experience and may be used in promotional newsletters unless you express your with not to have them used (see T&Cs for individual courses and workshops)
● Marketing data is kept until you unsubscribe
